Cancellation Policy

Booking conditions – Open Clip n Climb sessions
- Payment – Must be made in full on Booking.
- Under 16’s – a responsible adult (18 and over) must remain on site when any under 16-year-old is participating in the Clip n Climb. This adult is welcome to participate but does not have to providing they remain on site for the duration of the session.
- Clip n Climb as any physical activity carries an inherent risk of bumps, bruises and minor injury. There is also a risk that if anyone taking part has any medical condition that it may be made worse by climbing Summit Up. This includes any neck, back, shoulder, hip or knee injury. There is also an increased risk during pregnancy. By participating in Clip ‘n Climb or allowing the children in your care to participate, you acknowledge and accept these risks. If you have any concerns about yourself or any member of your booking group, you must seek advice from a member of staff, if in doubt, do not climb.
- Clip ‘n Climb is a potentially dangerous activity that can lead to serious injury if safety procedures are not followed. All participants must follow all the arena rules stated on the waiver form and any additional safety information provided by arena staff during the safety briefing and within your session. Summit Up cannot be held responsible for any participants acting outside of these rules. For the safety and well-being of everyone in our centre, anyone ignoring the safety rules may be asked to leave the Clip n Climb.
- GDPR – All data collected is stored in accordance with GDPR our full GDPR information can be found here
- Photography – Customers are welcome to take photos of their group members participating in the activities, Summit Up cannot control what happens to these photos. From time-to-time Summit Up may take photos and video for use in our promotional materials. If we are doing this, we will put up signs stating this is happening and inform all participants it is taking place if you do not wish to be included in these please inform a member of staff.
- Cancelations/postponement by the customer
- If the customer wishes to postpone or cancel more than 7 days prior to their session. Summit Up will move their session# or refund their course fee free of charge.
- If the customer wishes to postpone or cancel less than 7 days but more than 48 hours prior to their session. Summit Up will move their session# or refund their course fee, an admin charge of £2 will be charged for this.
- If the customer wishes to postpone or cancel less than 48 hours prior to their session. Summit Up will move their session# an admin charge of £2 per person will be charged for this. However, no refunds will be given for cancelled sessions.
- Cancelations/Postponement by Summit Up. – Summit up reserves the right to postpone or cancel the session for operational reasons at any time. Summit Up will move their session# or refund their course fee free of charge if this occurs.
# The session will be moved to another open Clip n Climb session subject to availability. This session must be within 3 months of the original session. A maximum of 2 changes can be made by the customer after which they will lose their booking, and no refund will be issued.
Booking conditions – Parties
- Payment – A nonrefundable deposit of 50% of the full booking fees must be made on Booking. The remaining balance must be paid a minimum of 7 days prior to the party.
- Organisers responsibility. It is the responsibility of the party organiser to ensure that the participants and their parents are informed of the relevant details of activities which will be undertaken in the party and the relevant risks listed below.
- A responsible adult (18 and over) must remain on site throughout the duration of the party. This adult is welcome to participate but does not have to providing they remain on site for the duration of the session.

- Numbers –
- The customer can increase (subject to availability) or decrease numbers (subject to minimum numbers) up to 7 days in advance. There will be no charge for decreasing numbers, a 50% deposit will need to be paid for any increased numbers with the remaining balance being paid alongside the rest of the party balance at least 7 days prior to the party.
- If the customer wishes to change the party numbers less than 7 days in advance of the party, then there will be no refund for any decrease in numbers and an increase in numbers will be subject to availability and charged at full cost at the time of booking.
- Cancelations/postponement by the customer
- If the Customer wishes to cancel the whole party more than 7 days prior to the party date, then they will lose their 50% nonrefundable deposit. Any payments made to Summit Up above this will be refunded free of charge.
- If the Customer wishes to cancel the whole party less than 7 days prior to the party date, then no refunds will be given, and the customer will be expected to make full payment for the party if they have not already done so.
- If the customer wishes to postpone the whole party more than 7 days prior to their party. Summit Up will move their party free of charge#.
- If the customer wishes to postpone the whole party less than 7 days prior to the party Summit Up will move their Party# subject to an admin charge of £2 per person.
- Cancelations/Postponement by Summit Up. – Summit up reserves the right to postpone or cancel the session for operational reasons at any time. Summit Up will move their party# or refund their payments free of charge if this occurs.

Booking conditions – Courses and bespoke bookings
- Payment – Full payment should be made on booking. However, if payment is being made by a school, youth group or other organisation requiring an invoice. The invoice for the full amount will be issued on booking. Payment must be made within 30 days invoice being issued or before the activity date whichever comes sooner. It may be possible to arrange longer credit terms for some organisations please ask for details.
- Under 16’s – Many of our open courses have age limits please check the course details for these. Where under 16’s are allowed on courses a responsible adult (18 and over) must either also be registered and attend the course with them or if this is not required, they must remain on site throughout the duration of the session.
- Clip n Climb, bouldering and climbing as any physical activities carry an inherent risk of bumps, bruises and minor injuries. There is also a risk that if anyone taking part has any medical condition that it may be made worse by climbing at Summit Up. This includes any neck, back, shoulder, hip or knee injury. - Multi session courses –
- Open courses – Where a course is scheduled to run over more than one session if the customer cannot make one or more of the sessions no refunds will be given. It may be possible to transfer to the equivalent session of another open course subject to availability, but this is not guaranteed.
- Bespoke courses – if a customer has booked multiple sessions for a bespoke course, then moving or cancelling any session is subject to the rules set out in clause 7 above.
- Cancelations/Postponement by Summit Up. – Summit up reserves the right to postpone or cancel the session for operational reasons at any time. Summit Up will move their session# or refund their payments free of charge if this occurs.
# The session will be moved to another open session for open sessions or a mutually agreed date/time for bespoke sessions subject to availability. This session must be within 3 months of the original session. A maximum of 2 changes can be made by the customer after which they will lose their booking, and no refund will be issued.
Booking conditions – Summiteers Climbing Clubs
- Payment – Full payment for the whole term block of sessions should be made on booking.
- Parents –
- All participants and parents must check in with reception at the start of their sessions.
- The parent of Guardian of any children under 8 must always stay in the building during the Summiteers Club session their child is attending. Parents of children over 8 may leave the building provided up to date emergency contact details have been provided and they inform staff they are doing so.
- All parents must collect their child from the instructor at the end of the session unless they have indicated on booking that they are happy for their child to leave the building unsupervised at the end of the session.
- Due to safety and space considerations parents are asked to stay in the café area during the Summiteers Club sessions and not go into the bouldering or roped climbing areas.
- Clip n Climb, bouldering and climbing as any physical activity carry an inherent risk of bumps, bruises and minor injuries. There is also a risk that if anyone taking part has any medical condition that it may be made worse by climbing at Summit Up. This includes any neck, back, shoulder, hip or knee injury. By allowing the children in your care to participate in Clip ‘n Climb, climbing or bouldering you acknowledge and accept these risks. If you have any concerns about your child, you must seek advice from a member of staff, if in doubt, they should not climb.

- Missing as session – if your child misses a session during a block no refunds will be given. It may be possible to transfer to another group at the same level in the same week (Mon-Fri). However, this is subject to availability and is not guaranteed.
- Progressions – once a club member has completed the assessments at the level they are currently booked on to, they will be invited to move up to a session at the next level, subject to availability. This can happen partway through a block. There will be no charge for this provided the new session has the same number of sessions left in the block and is charged at the same rate. There is no requirement for them to move up however they not be able to progress further through the climbing awards if they choose to stay in their original group.
- Cancelations/postponement by the customer
- If the customer wishes to move to another group at any time or cancel more than 7 days before the block of sessions starts. Summit Up will move their session# or refund their course fee free of charge.
- If the customer wishes to cancel less than 7 days before the block starts or partway through a block, they will be charged pro rata for the next 2 sessions of the block any remaining sessions will then be refunded
- Cancelations/Postponement by Summit Up. – Summit up reserves the right to postpone or cancel the session for operational reasons at any time. Summit Up will move their session# or refund their payments free of charge if this occurs.
# The club member will be moved to another group at the same level subject to availability. Only one move will be allowed per block except when invited to progress to the next group.
Booking conditions – Group bookings
- Payment – Payment can be made on booking alternatively schools, youth groups and other organisations can be invoiced for the full amount on booking. Payment must be made within 30 days invoice being issued. It may be possible to arrange longer credit terms for some organisations please ask for details.
- Organisers responsibility – It is the responsibility of the party organiser and the organisation they work for to ensure that the participants and their parents (when relevant) are informed of the relevant details of activities which will be undertaken in the session(s) and the relevant risks listed below.
- Group staff – A responsible adult (18 and over) must remain on site throughout the duration of the session. This person will be expected to manage the group behaviour throughout the session if required. Staff accompanying the groups are welcome to participate in the activities but must be included in the numbers paid for if they do so. There is no requirement for them to do this as long as one adult remains on site for the duration of the session.
- Clip n Climb, bouldering and climbing as any physical activities carry an inherent risk of bumps, bruises and minor injuries. There is also a risk that if anyone taking part has any medical condition that it may be made worse by climbing Summit Up. This includes any neck, back, shoulder, hip or knee injury. There is also an increased risk during pregnancy. You should inform the participants and their parents where relevant of these risks so they can acknowledge and accept these risks before participating in the activities. If you have any concerns about yourself or any member of your booking group, you must seek advice from a member of staff, if in doubt, do not climb.

- If the customer wishes to reduce the group numbers up to 7 days in advance. A credit note will be issued for decreased numbers which can be deducted from the original invoice if it hasn’t been paid, or a refund will be issued if it has.
- If the customer wishes to reduce the group numbers less than 7 days in advance of the session, then there will be no credit note, or refund issued, and the full amount of the original invoice will be due.
- Cancelations/postponement by the customer
- If the Customer wishes to cancel the whole session more than 7 days prior to the session date, a credit note will be issued for cancelled which can be deducted from the original invoice if it hasn’t been paid, or a refund will be issued if it has.
- If the Customer wishes to cancel the whole session less than 7 days prior to the session date, then no credit note or refunds will be given, and the customer will be expected to make full payment for the original invoice within 30 days if they have not already done so.
- If the customer wishes to postpone the whole session more than 7 days prior to their session. Summit Up will move their session free of charge#.
- If the customer wishes to postpone the whole session less than 7 days before the session Summit Up will move their session# subject to an admin charge of £2 per person.
- Cancelations/Postponement by Summit Up. – Summit up reserves the right to postpone or cancel the session for operational reasons at any time. Summit Up will move their party# or refund their payments free of charge if this occurs.
# The session will be moved to a mutually agreed date/time subject to availability. This session must be within 3 months of the original session. A maximum of 2 changes can be made by the customer after which they will lose their booking and be subject to pay full amount of original invoice/no refund will be issued if already paid.
Booking conditions – Mountain Training Courses
- All customers must be registered with Mountain Training for the relevant award prior to attendance on the course and have the correct level of experience as required by Mountain Training recorded in their D-log prior to the start of the course. Failure to do so may result in your course place being cancelled or you being asked to leave the course. (see clause 4 below for charges)
- Summit Up membership – all course members must be registered Roped climbing members at Summit Up and have completed their membership assessment. There is no charge for this, and it can be done on arrival for the course.
- Full payment must be made on booking unless your space is being paid for on invoice by your employer or another organization. If this is the case the full invoice details will need to be supplied on booking and the invoice will need to be paid in 30 days from issue or prior to the course whichever is sooner.
- Cancelations – Mountain Training minimum numbers. If numbers have not reached the required minimum numbers set by Mountain Training 7 days prior to the course starting Summit Up will have to cancel the course to comply with Mountain Trainings regulations. If we do this, we will either transfer your booking to another course or refund your course fees in full.
- Cancelations – Not meeting minimum experience requirements.
- If the customer has completed their D-log with their prior experience more than 14 days in advance of the course but it is deemed not to meet the minimum requirements laid out by Mountain Training, then we will contact them to see if the missing experience can be gained in the remaining 2 weeks before the course. If not, then their place on the course will be cancelled and Summit Up will either transfer their booking free of charge to another course or refund their course fee less a £10 administration fee.
- If the customer has completed their D-log with their prior experience less than 14 days in advance of the course but it is deemed not to meet the minimum requirements laid out by Mountain Training then we will contact them to see if the missing experience can be gained in the remaining time before the course. If not, then their place on the course will be cancelled and Summit Up will either transfer their booking with a £10 administration fee to another course or refund 50% of their course fee.
- If the customer has not completed their D-log with their prior experience in advance of the course their place on the course will be cancelled and no refund or transfer will be offered.
- Cancellations – by the customer.
- If the customer cancels more than 7 days prior to the course. Summit Up will either transfer their booking to another course or refund their course free of charge
- If the customer cancels 7 days or less but more than 48 hours prior to the course. Summit Up will either transfer their booking to another course fee less a £5 per person administration fee
- If the customer cancels 48 hours or less prior to the course.
- If this results in the numbers dropping below Mountain Training Minimum numbers and the course having to be cancelled, then no refund will be given, and no transfer made.
- If the course is still able to run, then no refund will be given but we will transfer your booking to another course subject to availability. NB a maximum of 2 transfers can be made at any time under this clause. A 3rd cancelation/transfer request by the customer will result in the booking being cancelled and no refund given.
- Cancellations – by Summit Up. Summit up reserves the right to cancel the course for operational reasons at any time. If we do this, we will either transfer your booking to another course or refund your course fees in full.
